What your PMS doesn't cover (and what hotels use instead)

A property management system is the core of any hotel. It handles reservations, rates, check-in and check-out, folios and room inventory. That's a lot, and most hotels couldn't run without one. But a PMS is built around the guest's stay and the bill, not around the work your team does all day.

The work that falls through the cracks

  • Shuttle requests and the driver's schedule
  • Maintenance issues, who's on them and when they're fixed
  • Guest requests like extra towels, a crib or a late checkout
  • Housekeeping assignments and live cleaning progress
  • Groups in house and event setups
  • Shift notes and handoffs between the morning and night teams
  • Guest feedback collected while the guest is still on property

Some PMS setups cover pieces of this. Most hotels still end up handling a lot of it with radios, phone calls, a binder at the desk, a whiteboard in the back office and a staff group chat.

Why that costs you

None of those tools talk to each other. A maintenance issue reported at night gets lost by morning. A guest asks for towels twice. A shift starts with ten minutes of "did anyone deal with 312?" It's not anyone's fault, the information just has nowhere to live.

Don't replace the PMS, add next to it
