How to handle guest room requests without losing any

Guest requests are small, but they're some of the most visible things a hotel does. A guest asks for towels, gets a "right away," and then waits. Forty minutes later they call again. By then it's not about the towels anymore.

How requests usually get lost

  • The desk passes it on by radio and the houseman doesn't hear it
  • Two requests come in at once and one gets forgotten
  • The houseman delivers it but nobody tells the desk, so the desk doesn't know if it's done
  • The request comes in right at shift change

Write down every request

Even small ones. A request needs the room number, what was asked for and the time it came in. That's it. Writing it down takes a few seconds and means the request doesn't depend on someone's memory.

Send it straight to the person delivering it

Every handoff is a chance to lose something. If the request goes from the guest to the desk to the radio to the houseman, there are three spots for it to drop. It's better when the desk logs it once and the houseman sees it on their phone right away.

Mark it delivered

When the houseman drops off the towels, they mark it done. Now the desk knows, and if the guest calls back, the agent can say "it was delivered at 9:15" instead of guessing. Anything still open after a while is easy to spot and follow up on.

Watch for repeats

If the same room asks for towels every day, or a lot of guests ask for an item that should already be in the room, that's worth knowing. It might mean a room setup change, not more runs.
